What StockPilot collects, why, and what you can do about it — in plain words.

Last updated: 3 November 2026

1.The short version

  • We collect what is needed to run your business on StockPilot, and to fix it when it breaks.
  • Your business's figures belong to you. We do not sell them, and other businesses cannot see them.
  • We do not use advertising cookies or track you on other websites.
  • You can ask to see, correct or delete your data at any time.

2.What we collect

  • Your account: name, email or login, phone number if you give it, and the business and branches you set up.
  • Your business records: products, prices, sales, stock counts, purchases, expenses, customers and staff — everything you or your staff type in.
  • Files you upload: receipt photos, product pictures, and anything attached to a suggestion or report.
  • Activity: who did what and when (for example, who rang up a sale), so the business has a record.
  • Technical details: your browser and device type, the page you were on, and error details when something goes wrong.
  • Notifications: if you turn them on, an address for your device so we can send them.

3.Cookies and saved settings

A cookie is a small note your browser keeps for a website. StockPilot uses three kinds:

  • Essential (always on): sign-in cookies that keep you logged in and secure. Without them nobody could sign in.
  • Preferences (always on, stored only on your device): your theme, screen layout, folded sections, “Remember me” and your cookie choice. They never leave your device.
  • Optional — screen recordings: when you choose Accept all, a short recording of how the page behaved may be sent to our error service if something goes wrong. Text, numbers and pictures are masked, so it shows the shape of the screen, not your figures.
  • Error reports are always sent when the app breaks (the error, the page and your browser type), because without them we cannot fix it.

4.How we use it

  • To run the app: show your stock, save your sales, keep your books.
  • To keep it secure: sign you in, sign you out when idle, and stop people seeing what their role does not allow.
  • To help you and fix problems: answer your messages and find out why something broke.
  • To tell you about changes: notifications and What's new, which you can switch off.

5.Who else handles it

We use trusted services to run StockPilot. They handle your data only to provide their service to us:

  • Supabase — stores the database, logins and uploaded files.
  • Vercel — hosts the website.
  • Sentry — receives error reports and, with your OK, masked screen recordings (servers in Germany).
  • Your browser's push service (Google, Apple, Mozilla or Microsoft) — delivers notifications if you turn them on.

6.Product pictures

Product pictures go into a shared library so other shops can reuse them. Only the picture and the product name are shared — never your prices, stock or business name. Pictures from outside sources are openly licensed and credited on the picture credits page.

7.Where it is kept, and for how long

Your data is stored on cloud servers, which may be outside Zambia. It is kept while your business uses StockPilot. If you ask us to delete your account, we delete your business's data, except what the law requires us to keep (such as payment records).

8.Your rights

Under Zambia's Data Protection Act, 2021 you may ask what we hold about you, ask us to correct it, ask us to delete it, or object to how it is used. Ask through Suggestions & reports in the app and we will reply.

Staff members: your employer's business decides what is recorded about your work in their StockPilot. Speak to them first; we will help if they cannot.

9.Changes to this page

If we change how we use your data, we will update this page and tell you in the app before it takes effect.

Still stuck?

Inside the app, open your account menu (your initials, top right) and tap Suggestions & reports. Say what you were trying to do — the StockPilot team reads every message.
